AgendaForge ("AgendaForge," "we," "us," or "our") provides an AI-native event management platform that helps organizers run the full lifecycle of their events — including call for papers, sessions, agendas, speaker and sponsor CRM, attendee portals, and registration. This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have.

By using AgendaForge (the "Service"), you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information you provide

• Account information: name, email address, organization name, and authentication identifiers managed through our identity provider.
• Event content: event details, sessions, speakers, sponsors, contacts, application form submissions, and any other content you create or upload.
• Communications: messages you send to us for support, sales, or feedback.
• Payment information: billing details processed by our payment processor (Stripe). We do not store full card numbers on our servers.

Information collected automatically

• Usage data: pages viewed, features used, and actions taken within the Service.
• Device and log data: IP address, browser type, device type, and timestamps.
• Cookies: we use cookies and similar technologies to keep you signed in and to understand product usage.

2. Google User Data

AgendaForge offers an optional Google Sheets integration that lets you sync your event data (such as contacts and sponsors) to a Google Sheet you choose. If you connect your Google account, AgendaForge's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

What we access

When you connect Google, we request only the scopes needed to operate the integration:

• Google Sheets (spreadsheets): to read and write rows in the spreadsheet you select so we can append, update, and remove records as your event data changes.
• Google Drive read-only (drive.readonly): used solely so the in-app picker can list the spreadsheets in your Drive for you to choose from. We do not download, modify, or retain the contents of your Drive files.
• Basic profile (openid, email, profile): to identify the connected Google account.

How we use Google data

• We use Google Sheets access exclusively to provide the user-facing sync feature you enabled — writing your AgendaForge event data into the sheet you selected.
• We do not use Google user data for advertising, and we do not sell it.
• We do not use Google user data to train, develop, or improve any generalized or non-personalized AI/ML models. Any AI features in AgendaForge operate on your event content for your benefit, not on data read from your Google account.
• We do not allow humans to read your Google data except where you expressly grant permission for support, where required for security or to comply with applicable law, or where the data has been aggregated and anonymized.

How we store and protect Google data

• Google OAuth access and refresh tokens are encrypted at rest using AES-256-GCM and are used only to perform the sync actions you configure.
• We retain tokens only while the integration is connected. You can disconnect the integration at any time from Event Settings → Integrations → Google Sheets, which deletes the stored tokens.
• You may also revoke AgendaForge's access at any time through your Google Account permissions page.

3. How We Use Information

• Provide, operate, maintain, and improve the Service.
• Authenticate users and secure accounts.
• Process transactions and send related billing information.
• Power AI features that operate on your event content to assist your workflows.
• Respond to support requests and communicate with you about the Service.
• Monitor usage, detect abuse, and protect the integrity and security of the Service.
• Comply with legal obligations.

4. How We Share Information

We do not sell your personal information. We share information only as follows:

• Service providers: trusted vendors who process data on our behalf, such as cloud hosting and database (Convex), authentication (WorkOS), payments (Stripe), AI processing (OpenAI), and email delivery (Amazon SES). These providers are bound by contractual obligations to safeguard your data.
• Within your organization: content you create is accessible to other members of your organization according to their roles and permissions.
• Legal and safety: when required by law, regulation, legal process, or to protect the rights, property, or safety of AgendaForge, our users, or others.
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. We will delete or anonymize your information upon request or when it is no longer required, unless we are legally obligated to retain it.

6. Data Security

We implement administrative, technical, and physical safeguards designed to protect your information, including encryption of sensitive credentials at rest and in transit. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

7. Your Rights and Choices

• Access, update, or correct your account information within the app.
• Disconnect third-party integrations, including Google Sheets, at any time.
• Request access to, correction of, or deletion of your personal data by contacting us.
• Opt out of non-essential communications.

8. International Data Transfers

Your information may be processed and stored in countries other than your own. Where required, we use appropriate safeguards for such transfers.

The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date above. Material changes will be communicated through the Service or by email.
